How-to guides

GST, withholding and tax guides cover New Zealand only. Figures are planning estimates, not tax advice. Confirm your position with Inland Revenue or a qualified adviser. These guides do not describe filing or payment services.

Set up a project

  1. Open Projects & Clients or employers. Add a client or employer with a name and optional daily or hourly billing rate, then save it.
  2. Choose Add Project, enter a project code or description and select a client or employer, then save.
  3. Confirm the project appears before recording time. New projects use the selected client or employer’s billing defaults. Existing saved project rate overrides are kept.

Add time

  1. Select a project in the timer bar and describe the task. Start the timer, then stop it when the work ends.
  2. For past work, use the time-entry action in the timesheet. Choose the project, description, start and end times, then save.
  3. Check the saved entry and duration in the relevant week. Correct mistakes before invoicing.

Review weekly time by project

  1. Open Timesheets and use Previous week or Next week to choose the week. Today returns to the current week.
  2. Review each project’s entries and totals. Open an entry to check its dates and description.
  3. Use Reports for a client or employer work summary over a date range. Check the time zone and date filters before comparing totals.

Create and manage invoices

  1. With premium access, open the invoice editor and select the client or employer, billing dates and time to include. Review rates, currency, business details and totals.
  2. Save the invoice. Open Invoice History to find the saved record and edit it while it is a draft.
  3. Review the final details before finalising. Record payment only after payment is received; check the displayed paid status and payment date. Final invoices may have different editing restrictions from drafts.

Record a receipt

  1. With premium access, open Receipts and choose Upload receipt. Choose a supported JPEG, PNG or PDF file, then review the extracted merchant, date, total and currency.
  2. Correct the extracted values against the original document and save the receipt. Confirm the attachment appears before leaving.
  3. Review any extracted values against the original document. Use the date range to find the receipt again and correct mistakes.

Prepare a basic NZ GST return

  1. Set the business region to New Zealand and review GST registration, accounting basis and filing frequency in Preferences. Premium access is required for NZ reporting.
  2. Open GST, select the filing period and review invoice and receipt entries. Reconcile the figures to your own records, including unpaid invoices where relevant to your basis.
  3. Resolve missing dates, receipts and payment statuses before using the summary. The app does not file a return with Inland Revenue.

Account for agency withholding

  1. For a New Zealand business with premium access, open Preferences and set the schedular withholding percentage used by your agency. Save the change.
  2. Open Tax to review the estimated withholding separately from estimated income tax and ACC. A zero rate hides the withholding breakdown.
  3. Withholding offsets remaining income-tax planning only; it does not reduce gross income, expenses or ACC. Reconcile actual deductions to agency statements and your Inland Revenue records.

Review NZ tax obligations

  1. Confirm the New Zealand business region, tax preferences, recorded income, expenses and payments before opening Tax. Premium access is required.
  2. Review actual and projected income, estimated income tax and ACC, withholding and reserve targets. Check the tax year, date range and assumptions.
  3. Treat projections as a planning aid. Check actual obligations and due dates with Inland Revenue or a qualified adviser before making payments or filing.
